The Best PMS for Short-Term Rentals (2026)

How much PMS you actually need on top of calendar sync. The five kinds of system, what each one really costs at 1 to 50 units, when owner accounting is worth paying for, and how to switch without breaking your listings.

For most hosts and small managers running 1–50 units, the best PMS in 2026 is a lean, flat-priced, all-channel system: HostPort at $10 per synced listing per month. Add specialist tools only where you really need them. The exception is property managers with many third-party owners, who need trust accounting and owner statements built in.

  • Pricing models decide your real cost more than feature lists do. Hostaway and Guesty Pro are quote-only. Reviewers report onboarding fees of about $300–$1,500 and annual contracts. Percentage fees (Smoobu Flex 0.9%, Guesty Lite pay-as-you-grow 1%, Little Hotelier Basics 1%, Beyond 1–1.25%) grow with your revenue, and flat per-listing pricing does not.
  • Go heavier only for a clear reason. Examples: trust accounting for third-party owners (OwnerRez with its Property Management add-on, Hostaway, Guesty Pro, Track, Streamline, Escapia), a hotel-style front desk (Cloudbeds, Little Hotelier), or 50+ units with enterprise reporting needs.

#PMS vs channel manager: which do you actually need?

A channel manager keeps availability, rates and bookings in sync across OTAs. Its job is to stop double bookings.

A PMS runs the business around those bookings: reservations, guest messaging, team tasks, payments, reporting and, at the heavier end, owner accounting.

Most short-term rental tools now bundle both. The real question is how much PMS you need on top of sync.

Rule of thumb: if you own or co-host your units and nobody else needs a monthly statement from you, you need a lean PMS. You don't need an accounting suite.

Owner statements and trust accounting separate "PMS for hosts" from "PMS for property management companies". If you don't hold owners' money, you don't need to pay for them.

  • Price: Free forever tier: unlimited listings on iCal sync, unified calendar, web and iOS/Android apps, direct booking page. Paid two-way API sync is a flat $10 per synced listing per month. No contract, no setup fee. You only pay for listings you sync.
  • Channels: Direct two-way API connections to Airbnb, Booking.com, Vrbo, Expedia, Agoda and Hipcamp, plus iCal for anything else.
  • Included with paid sync: linked calendars; multiple units grouped under one Booking.com property as room types; unified inbox; automated messaging; team, co-host and cleaner permissions; PriceLabs integration; Stripe payments with you as merchant of record.
  • Why it wins for 1–50 units: You get all six major channels on API sync at one flat price. It's simple to learn, with hands-on support. You own your payments, and you can start free.

  • Price: $40/month for the first property, then $15 for properties 2–3, $10 for property 4, $8 for 5–9, $7 for 10–19, $6 for 20–49 and $4 for 50–99. No setup or booking fees, monthly billing. Five properties cost $88/month.
  • Add-ons: Property Management (owner statements, commissions, expenses) starts at $10/month for the first property, $5 for the second and $3 each for properties 3–9. Hosted websites, QuickBooks, SMS ($15/month per number) and integrated sites are also paid.
  • Strengths: Highest ratings in the segment (Capterra 4.9/5 from 259 reviews; G2 5.0). No booking fees. Digital signatures included.
  • Weaknesses: No native dynamic pricing. Modular add-ons stack up. Reviewers describe it as built for technically capable operators. Vrbo switches to OwnerRez can take "a couple of days up to possibly a couple of weeks", per OwnerRez's own support docs.
  • Cost note: The sliding scale makes the base subscription cheaper than HostPort from about 20 units upward. Add-ons close that gap for anyone who needs owner accounting, websites or QuickBooks.

#3. Hospitable: best for automation-first hosts with a few units

  • Price: Essentials is free for unlimited properties. Host costs $29/month for 1 property plus $10 for a second (capped at 2). Professional is $59 for 2 properties plus $15 per extra property. Mogul is $99 for 3 properties plus $30 per extra property. No onboarding fee, 14-day trial.
  • Fees: Per a 2026 review of its help docs, the free plan charges processing fees on upsells (10%) and security deposits (2%) and caps AI use. Dynamic pricing is included on paid plans. On Essentials it costs $15/property/month after a trial.
  • Strengths: AI messaging, a genuine free tier, and G2 4.9/5 (226 reviews). Hospitable's changelog announced on 15 June 2026 that its "Vrbo Partner Connection is live". Its help centre calls it "the same type of direct, certified integration that Hospitable has with Airbnb and Booking.com", and under that connection Hospitable becomes merchant of record for Vrbo reservations.
  • Weaknesses: Owner portal and QuickBooks sit on Mogul, where 10 units cost about $309/month. Per-unit cost rises with portfolio size.

#4. Uplisting: best mid-tier with deposits, e-sign and ID checks built in

  • Price: About $100/month (£72) for 1–5 properties. Then roughly $20 per property up to 20, $10 per property for 21–100 and $5 beyond 100. No revenue share. 14-day trial.
  • 2025–2026 context: AirDNA acquired Uplisting in January 2024 and did not disclose financial terms. According to AirDNA's announcement, reported by Inman on 9 January 2024, "Throughout 2023, Uplisting processed an estimated $400 million in bookings."
  • Weaknesses: Costly for 1–2 units. At least one 2026 Capterra review headline reads "purchased by AirDNA and is extremely neglected. AVOID IT". That's one review, so treat it as anecdotal and test support yourself.

#5. Hostaway: best one-vendor suite for 20+ units, if you accept the sales process

  • Price: Quote only. The pricing page routes to a quote form. Independent reviewers report about $40/listing/month at small scale, falling toward the high teens per listing at dozens of units. They also report a one-time onboarding fee of $300–$1,000+, no free trial and annual commitments.
  • Fees: One 2026 review reports a 1% application fee on Stripe payments and a 1.8% booking-engine fee on direct reservations. This is not vendor-confirmed, so ask for it in writing.
  • 2025–2026 changes: On 17 December 2024, TechCrunch reported that Hostaway had closed a $365 million round at a $925 million post-money valuation, led by General Atlantic with existing investor PSG Equity. In a 22 October 2025 press release, Hostaway said it "is now valued at $1 billion", making it the first unicorn in short-term rental PMS, and that it had grown more than 50% in size since the 2024 round.
  • Strengths: Broad integrations, owner statements, Capterra 4.8/5 from more than 1,500 reviews.
  • Weaknesses: Opaque pricing, onboarding fee, annual lock-in, and a learning curve for 1–5 unit hosts.

#6. Guesty (Lite and Pro): best for managers who want enterprise depth later

  • Lite (1–3 listings): Guesty's package page lists pay-as-you-grow from $9/listing/month plus 1% per reservation, $20/listing/month billed annually, or $29/listing/month billed monthly. Some July 2026 checks of guesty.com/pricing instead showed $16/month (annual) or $23/month for the Lite account, so Guesty's own pages conflict.
  • Pro (4–199 listings): Quote only. Reviewers report $40–72/listing/month, onboarding of $300–$1,500, and a 1% PriceOptimizer fee on qualifying reservations. None of this is vendor-confirmed.
  • Weaknesses: Opaque pricing, a long paid add-on catalogue, and Lite and Pro behave like different products.

#7. Lodgify: best if a direct booking website is your priority

  • Price: Plans are published. As of July 2026, one independent check found Basic $18, Starter $33 and Professional $53 list price per month, all showing a 0% booking fee. Many other 2026 reviews still cite a 1.9% booking fee on Starter.
  • Our read: The fee may have been removed. Confirm the booking fee on your plan before you sign.
  • Weaknesses: Automation depth sits behind higher tiers. Capterra 4.5/5 (about 1,300 reviews).

#8. Hostfully: best for guidebooks plus PMS

  • Price: Growth costs $15/property/month plus a platform fee. Pro costs $25/property/month plus a platform fee. Per StayFi's June 2026 check, Growth carries a 1% payment gateway fee and a 0.85% direct booking fee. API access, devices and Screen & Protect are paid add-ons.
  • Weaknesses: The platform fee and percentage fees make total cost hard to predict.

#9. Smoobu: simple EU-centric option

  • Price (billed in EUR): Professional Flex is €29/month for 1 unit plus €12 per additional unit, plus a 0.9% commission on gross booking value from API channels and direct bookings. Professional Prepaid is €35/unit/month. Teams Pro+ is €55. Dynamic pricing is an extra €12.99/property/month.
  • Weaknesses: The Flex commission grows with revenue. Annual and 2-year plans are prepaid and non-refundable.

#10. Beds24: most configurable budget option

  • Price (billed in EUR): From €15.50/month. Each channel link (one room type to one channel) costs €0.55/month. Extra users with owner management cost €2/month, and personal onboarding starts at €79. No commissions, no contract.
  • Weaknesses: Steep learning curve. Expect a day or two of setup for rate and OTA mapping.

#11. Hostex: cheapest per-property option

  • Price: Listed from about $4.90/property/month. Hostex's own pricing page did not show a figure when checked. Vrbo integration, team accounts and smart locks are on Pro.
  • Strengths: Capterra 5.0 (small sample). No booking fee.
  • Weaknesses: Smaller vendor and a smaller review base.

#12. Hostify: transparent pricing for 5+ units

  • Price: $20/unit for 5–19 units, $16 for 20–49 and $13 for 50–99. No onboarding, setup or commission fees. 14-day money-back guarantee.

  • Price: Pro costs $38/property/month on annual billing ($48 monthly) for 1 property, falling to $11.35 annual at 20 properties. The Flex plan has a $20 minimum per property plus $1 per booked night. No mandatory setup fee.

#14. Tokeet, Zeevou, Host Tools, Avantio

  • Tokeet: About $14.99/rental/month. $134.90/month covers up to 10 rentals. Figures of $179.90 for 10 still circulate. A Capterra reviewer who switched to Zeevou complained Tokeet removed features, then re-added them at extra cost. G2 rating 4.1 (20 reviews).
  • Zeevou: Free Spark tier for direct bookings. Paid tiers are listed at £24–£69/month on one directory and £30–£54.90 on another. Owner and operations management sit on the upper tiers.
  • Host Tools: Messaging-first, from $28/month for one listing on yearly billing. Free onboarding, 14-day trial.
  • Avantio: US pricing starts at $25 per accommodation with a $250 minimum monthly fee. Its own page is inconsistent on how the minimum is calculated.

#15. Hotel-style: Cloudbeds and Little Hotelier

  • Little Hotelier: Basics starts at about $39/month plus a 1% booking fee on all reservations. Pro is about $109/month for small properties. Built for properties under about 30 rooms. Capterra 4.0 (220 reviews).
  • Cloudbeds: Quote-based. Reported at roughly $15/room/month at entry with per-property minimums. Setup of $500–$2,000 is reported by one third-party source.
  • Fit: Best for B&Bs and aparthotels with rate plans and front-desk needs. Whole-home portfolios usually find the hotel logic gets in the way.

#16. Enterprise: Track, Streamline, Escapia, LiveRez, Barefoot

  • Track: No published pricing.
  • Streamline: Quote-based. Reported at $250–$750/month with an annual contract and implementation fees. One August 2026 Software Advice reviewer reported "over $50,000 in additional labor costs to make the transition".
  • Escapia: Owned by Expedia Group. Capterra lists from $10/unit/month. Reviewers mention steep setup, including one report of $7k in setup fees, and slower support follow-up.
  • LiveRez: Estimated at $350–$550/month plus setup.
  • Barefoot: Listed from $800/month. A reviewer notes its trust-accounting design takes extra setup work for owner-operators.

#When a heavier PMS is the better fit

Choose a heavier system when one of these is true:

  • You manage for many third-party owners. You need trust accounting, owner statements, commission splits and owner portals. Options: OwnerRez with the Property Management add-on on a budget; Guesty Pro or Hostaway mid-market; Track, Streamline, Escapia or Barefoot at scale.
  • You run advanced field operations. Inspections with photo proof, preventive maintenance, and vendor work orders across dozens of units. Breezeway is the specialist: on 3 March 2026 it announced "a strategic investment led by Resurgens Technology Partners", the second platform investment from Resurgens' $800 million third fund, with financial terms undisclosed, according to PhocusWire. Enterprise PMSs include ops natively.
  • You want a native revenue management module. Guesty PriceOptimizer, Hospitable Dynamic Pricing, Escapia Rates Manager. Most small operators do fine with PriceLabs at $19.99/listing.
  • You need enterprise reporting. Owner-level P&L, portfolio RevPAR, multi-entity accounting.
  • You have 50+ units. Implementation projects and account managers start to pay for themselves.
  • You run a hotel-style front desk. Walk-ins, folios, room-level rate plans: Cloudbeds, Little Hotelier, Mews.

If none of these apply, a heavier PMS mostly adds cost, contract risk and training time.

When a stack beats an all-in-one:

  • You'd pay for the pricing tool anyway. Most PMSs, including OwnerRez and Hostaway, rely on PriceLabs, Wheelhouse or Beyond.
  • Specialist ops tools are usually deeper than bundled modules. Turno's cleaner marketplace and Breezeway's inspections are the reasons people buy them.
  • You only add tools for the units that need them. A 3-unit host with one cleaner may need nothing beyond the PMS.
  • A stack loses when you need owner accounting tied tightly to reservations. That's where an integrated suite earns its price.

Example, 10 units:

  • HostPort + PriceLabs + Turno ≈ $100 + up to $200 + $100 = up to about $400/month. No contract, no onboarding.
  • Hostaway + PriceLabs ≈ $250–400 + up to $200 = up to about $600/month, plus a reported $300–1,000+ onboarding fee and an annual contract.

Where percentage fees overtake flat pricing:

  • Take 10 units averaging $3,000/month in revenue each ($30,000/month total). A 1% fee costs $300/month. That is triple HostPort's $100 flat sync fee for the same 10 units.
  • Smoobu Flex's 0.9% adds $270/month on that portfolio, on top of subscription.
  • Beyond at 1–1.25% costs $300–375/month on the same revenue, against PriceLabs at under $200.
  • Percentage models only win on very low-revenue or seasonal listings.

Honest note: OwnerRez's base subscription undercuts HostPort from roughly 20 units (about $196 vs $200 at 20). Hostex's listed per-property price is lower still. HostPort's case at that size is all six channels on API at one flat price, a free tier for iCal-only units, simple setup and hands-on support. It is not the lowest possible number at every portfolio size.

  • Owner-operator: Lean PMS. You don't need owner statements.
  • Co-host: A lean PMS with team permissions. Note that on Airbnb, only the listing owner's account can connect software, so the owner must authorise the connection.
  • Property manager with third-party owners: Owner statements and trust accounting are required. Choose from the heavier options above.
  • Rental arbitrage: Lean PMS plus screening (Truvi/Autohost) and noise monitoring. Landlord relationships make damage cover important.

  • Whole homes: Lean PMS + cleaning app + screening.
  • Apartments/multi-unit: Room-type grouping on Booking.com matters. HostPort supports multiple units under one Booking.com property as room types.
  • B&B/rooms: Hotel-style PMS (Little Hotelier, Cloudbeds) if you run a front desk. Otherwise a lean PMS with room types.
  • Unique stays (cabins, glamping): Check for Hipcamp on API. HostPort connects to Hipcamp. Many PMSs don't.

#Switching PMS without breaking things

  1. Export everything first. Download future reservations, guest contacts, rates and financials as CSV.
  2. Link existing OTA listings. Never recreate them. Recreating a listing loses reviews and ranking.
  3. Airbnb: Connect using the listing owner's account. Airbnb's help centre says to "log in to the team owner account", and co-host accounts cannot connect software.
  4. Vrbo: Only one PMS can control a Vrbo listing. Start the connection in the new PMS, then contact Vrbo support to switch software providers. Don't disconnect the old PMS first. Hospitable's docs warn that deleting the connection triggers disconnection consequences. OwnerRez says a switch can take "a couple of days up to possibly a couple of weeks", and Vrbo may ask you to attribute future bookings.
  5. Booking.com: In the Extranet, go to Account > Connectivity provider > Switch providers. Booking.com says to "make sure you don't deactivate your old connection". You stay connected until the new provider confirms. Then check rates and availability. Cloudbeds' troubleshooting notes that Booking.com sometimes closes availability during the switch. If that happens, ask your account manager to reopen it.
  6. Time the cutover. Pick a quiet mid-week window, never the day before a big arrival.
  7. Run both systems in parallel for 24–48 hours. Keep the old PMS read-only and compare calendars across every channel.

Test before you trust it:

  • Make a test booking on each channel and confirm it appears in the new PMS
  • Block a date in the PMS and confirm it closes on every OTA
  • Change a rate and confirm it pushes (and that PriceLabs isn't overwriting it unexpectedly)
  • Send and receive a message per channel
  • Confirm cleaner and co-host logins see only what they should
  • Run a test payment and refund through Stripe
  • Check future reservations imported with the correct amounts

#Common PMS buying mistakes

  • Buying enterprise features you won't use. Trust accounting is useless if you don't hold owner funds.
  • Ignoring onboarding fees and annual lock-in. Reported onboarding fees of $300–$1,500 at Hostaway and Guesty, and $7k in one Escapia review, belong in year-one cost.
  • Accepting percentage fees. 1% of $30,000/month is $300/month, and it rises every time you raise rates.
  • Settling for iCal-only channels. iCal delays can run to hours, and hours is enough for a double booking.
  • Paying for bundled modules that are worse than add-ons. Compare built-in cleaning or pricing against Turno, Breezeway and PriceLabs.
  • Poor support hours for your time zone. Test support at 8pm local time during your trial.
  • Data lock-in. Confirm CSV export of reservations, guests and financials before signing.
  • Quote-only pricing without a written quote. Get per-listing price, onboarding, payment fees and contract term in writing.

#Caveats

  • Prices were checked against vendor pages and independent reviews up to September 2026. Quote-only vendors (Hostaway, Guesty Pro, Track, Streamline, LiveRez, Cloudbeds) don't publish rates. Their figures are third-party reports, not vendor-confirmed.
  • Sources conflict on Guesty Lite ($9–29 per listing vs $16–23 per account) and on Lodgify's booking fee (1.9% vs 0%). Confirm both directly.
  • Smoobu, Beds24 and Avantio (EU) bill in EUR. Uplisting bills in GBP. USD equivalents move with exchange rates.
  • HostPort pricing and channel coverage are as supplied by HostPort for this article. Features not listed here are not publicly documented, so confirm them with HostPort before you rely on them.
  • Review scores come from small or self-selected samples. Test support yourself during a trial.
