Vrbo is the hardest major channel to connect to a channel manager, and picking the wrong tool can lock your calendar, strip your reservation history, or quietly stop pushing rates. This guide explains how Vrbo connections actually work, then ranks the tools small hosts should use.
If you run 1–50 units and list on Vrbo alongside Airbnb and Booking.com, HostPort is our top pick: a flat $10 per synced listing per month, no contract, no setup fee, with two-way API connections to Vrbo, Airbnb, Booking.com, Expedia, Agoda and Hipcamp, plus a free forever iCal tier.
#Vrbo connection types explained (read this first)
Vrbo does not have a self-serve public API. You cannot generate an API key and connect yourself the way you can with Airbnb. Every real connection runs through Vrbo's Connectivity Partner Program, and the quality of your sync depends on which method your software uses.
1. Official Partner API (Integrated / Preferred / Elite). Vrbo certifies software providers and sorts them into three tiers: Integrated (basic certified access), Preferred (advanced), and Elite (top tier). All three use Vrbo's official API. The tier reflects Vrbo's assessment of the partner's reliability and feature depth, not a hard cap on what syncs. An official API connection can push rates, availability, min-stay and content, pull reservations, and route guest messages. Confirmed Vrbo Elite partners for 2026 include Hostaway (6th consecutive year), OwnerRez (6th consecutive year, the only independent channel manager to hold Elite that long), Lodgify, Escapia (an Expedia Group company), and Guesty. NextPax holds Vrbo Preferred status for 2026.
2. Chrome/browser extension. Some tools connect through a browser extension that logs into your Vrbo owner dashboard and relays data. This is how iGMS connects (via its "iGMS – Vrbo" Chrome/Firefox extension), how Hostex connects, and how Hospitable's older "Vrbo Legacy" connection worked. It functions, but it depends on a desktop Chrome browser staying logged in, breaks when Vrbo changes its authentication, and syncs less than the official API.
3. iCal only. The weakest method. iCal syncs blocked dates and nothing else: no rates, no min-stay, no guest details, no messages, no financials. Smoobu, for example, connects to Vrbo by iCal only — its own help docs state the connection "does not include the sync of Vrbo messages, pricing, guest details (phone number, email) and financial details." Vrbo's iCal feed refreshes on a delay (roughly 15 minutes to a few hours, and up to 12 hours in some reports), which is the classic double-booking window.
4. Vrbo's own calendar import/export (free). Vrbo lets you import and export an iCal link directly, and you can cross-sync it with Airbnb for free. It fails for the same reasons as any iCal: delay-based double bookings, availability only, and no rate or content control.
Why this matters: two Vrbo rules make the connection type decisive.
- One PMS per listing. Vrbo allows only one property management system to manage a listing's calendar at a time. Connect a second one and Vrbo flags the listing "Calendar Restricted": your new tool can still pull reservations and run messaging, but Vrbo blocks it from pushing pricing or availability. Only the first-connected PMS controls the calendar.
- Disconnecting is destructive. When you remove a PMS from a Vrbo listing, reservations that the PMS was handling can be removed from the Vrbo calendar, historical financial data does not come back, and the listing can be archived or unpublished for up to two weeks while Vrbo decommissions the connection. That is why you use Vrbo's official software switch process (hand the listing from one PMS to the next) instead of disconnecting and reconnecting.
#Quick answer: best Vrbo channel managers for small hosts

Prices are USD and change often. Confirm current pricing with each vendor. HostPort's exact Vrbo connection depth (partner tier, content-sync coverage, messaging via API, merchant-of-record handling, reviews sync, software-switch handling) is not fully documented publicly; confirm the specifics with HostPort before you migrate.
#Why HostPort is our #1 pick for small Vrbo hosts
Flat $10 per synced listing per month. No contract, no setup fee, no per-user charges. At 10 listings that is $100/month. Compare that to Hostaway (quote-only, plus a $300–$1,000+ onboarding fee) or OwnerRez ($127/month at 10 units).
Free forever iCal tier. Unlimited listings, unified calendar, mobile app, and a direct booking page at $0. You only pay when you turn on two-way channel sync for a specific listing. Turn it off and you stop paying.
Two-way API connections to Vrbo, Airbnb, Booking.com, Expedia, Agoda and Hipcamp. Real API sync, not iCal for the majors.
Built for the small-operator jobs that matter:
- Linked calendars for multi-listing properties.
- Multiple units grouped under a single Booking.com property as room types.
- Unified inbox and automated messaging.
- Team, co-host and cleaner permissions.
- PriceLabs integration for dynamic pricing.
- Web and iOS/Android apps.
- Stripe payments where you are the merchant of record.
Honest caveats. HostPort does not publicly document its Vrbo connectivity partner tier, how deep its Vrbo content/photo sync goes, whether Vrbo guest messaging routes through the API, how it handles Vrbo's merchant-of-record and payment flow, whether Vrbo reviews sync, or how it manages Vrbo's software-switch process for hosts moving from another PMS. If any of those are deal-breakers for you, confirm them with HostPort support before migrating. HostPort's positioning is simplicity, flat pricing and hands-on support, not enterprise depth.
Who should look elsewhere: if you need built-in owner statements and trust accounting, or you run 50+ units with heavy automation needs, look at OwnerRez or Hostaway/Guesty Pro.
#Vrbo's fee and payment model in 2025–2026
Understand what Vrbo takes before you layer software costs on top.
Pay-per-booking (the only option for new hosts): 5% commission + 3% payment processing = roughly 8% per booking. The 5% commission applies to the rental subtotal plus mandatory fees (cleaning, pet, extra guest), not to refundable deposits or taxes. The 3% processing fee applies to the whole payment including taxes and deposits.
The $699 subscription is closed. As of 28 August 2025, the pay-per-subscription model (historically $499–$699 per listing per year) is no longer available as a pricing plan for new Vrbo hosts or listings. Only legacy partners with at least one property already on the subscription can opt into automatic renewal or convert a pay-per-booking listing onto it. Do not plan around it.
PMS connection can cut the fee. When you connect through an official API PMS and process payments through your own gateway, Vrbo generally stops collecting guest payments, so the 3% processing fee no longer applies. You pay only the 5% commission (charged to a card on file in your Vrbo account). This is a real reason to connect via API.
Vrbo Payments / merchant of record. Vrbo is piloting acting as merchant of record (Vrbo Payments), and some partners can act as MoR themselves. Hospitable, for example, can be the merchant of record for Vrbo bookings in the US, UK and Australia for a 3.9% payment processing fee (2.7% for Australian properties), on top of Vrbo's 5% commission. This replaces Vrbo's own 3% processing charge.
Guest service fee. Guests pay a separate service fee (typically 6–15%, commonly around 12%) that never shows in your payout but raises the total price the guest sees.
Net payout vs other channels. On a $1,000 booking:
- Vrbo pay-per-booking: ~8% off = ~$920 net (or ~$950 if PMS-connected and you only pay the 5% commission).
- Airbnb host-only fee: Airbnb is moving every host onto a single host-only service fee of 15.5% of the booking subtotal = ~$845 net.
- Booking.com: ~15% commission (range 10–25%) = ~$850 net, before optional visibility programs (e.g., Preferred Partner) that add several points.
Vrbo is the cheapest of the three for hosts on a per-booking basis. That is a reason to prioritize a clean Vrbo connection, not treat it as an afterthought.
#Vrbo product and policy changes you must know for 2026
Premier Host goes listing-level (effective 1 January 2026). Per Vrbo's official Premier Host Policy, recognition moved from the account level to the individual listing level. Each listing now qualifies or fails on its own. The new standards: an average review rating of 4.6 or higher, a booking acceptance rate of 99% or higher, a host-initiated cancellation rate of 0%, 5 or more Vrbo reviews, and at least 5 bookings or 60 booked nights — measured over the past 365 days each quarter. Premier Host is now embedded in Vrbo's Performance Milestones system (qualifying listings hit Milestone 2, "Great"). The prior standards were looser: 4.4+ rating, 95%+ acceptance, ≤1% cancellations, and 3+ reviews.
Why this matters for software choice: a channel manager that causes even one host-initiated cancellation (from a double booking) can now cost that listing its badge — and with a 0% tolerance, there is no margin. Reliable API sync is directly tied to your Premier Host status.
Expanded Distribution Network + Instant Book. Vrbo pushes eligible listings across Expedia Group brands (Expedia, Travelocity, Trivago), the Travel Agent Affiliate Program, and its B2B network — which Expedia Group's 17 September 2025 announcement describes as "70,000 businesses and more than 160,000 travel agents," with Delta, Alaska Airlines and Revolut among the first to distribute Vrbo supply. To be included, a listing must have Instant Book enabled. Turning on Instant Book to catch this demand raises double-booking risk if your calendar sync is not real-time.
Promotions suite. Vrbo offers early-booking, last-minute, mobile, and Members Only Deals promotions, with a Promotions API pilot letting PMSs manage deal types. Watch for promotions stacking on top of channel-manager discounts.
EU STR Regulation 2024/1028 (applies 20 May 2026). Affects Vrbo's European brands (Abritel in France, FeWo-direkt in Germany). Per the EUR-Lex official text, the regulation entered into force on 20 May 2024 and "shall apply from 20 May 2026." It standardizes host registration, requires platforms to share monthly activity data with national authorities, and requires hosts in registered jurisdictions to display a unique registration number. It is a transparency regime, not an EU-wide ban. If you list in the EU, make sure your registration number is in your listing before the deadline.
#What an API-connected tool can and cannot control on Vrbo
An official Partner API connection can generally control:
- Rates and availability
- Minimum stay and restrictions
- Listing content and photos (depth varies by partner)
- House rules and cancellation policy
- Fees (cleaning, pet, extra guest) and taxes
- Guest messaging (routed through the API)
- Reservation import
What varies or falls short:
- Reviews sync is inconsistent across tools; confirm per vendor.
- Chrome-extension connections (iGMS, Hostex, Hospitable Legacy) sync less reliably and can miss message routing or reservation edits.
- iCal connections (Smoobu, free cross-sync) control availability only. No rates, no fees, no messages, no financials.
- Financial data does not transfer cleanly through Vrbo's API during a PMS switch; export a CSV of your reservations and financials before you move.
#The tools, compared
#HostPort — best overall for 1–50 units
Flat $10/synced listing/month. Two-way API to Vrbo, Airbnb, Booking.com, Expedia, Agoda, Hipcamp. Free iCal tier, unified inbox, automated messaging, team permissions, PriceLabs, direct booking page, Stripe (host is MoR). No contract, no setup fee. Confirm Vrbo partner-tier depth with support.
#OwnerRez — best for power users and owner statements
Vrbo Elite Partner (6th consecutive year in 2026; the only independent channel manager to hold Elite that long). Sliding-scale pricing: $40 for the first property, then $15 each for properties 2–3, $10 for the 4th, $8 for 5–9, $7 for 10–19, $6 for 20–49, $4 for 50–99. No booking fees, no contracts, 14-day trial. Deep features, owner statements, and support cited as the standout (4.9/5 on Capterra). Weakness: steeper learning curve; add-ons (hosted sites, QuickBooks, SMS, Rezzy AI) billed separately.
#Hospitable — best automation, plus Vrbo merchant-of-record option
Official Vrbo Partner Connection on Vrbo's latest API. Per-property pricing (roughly $40+/month for one listing, scaling down per unit). Strong automated messaging. It can act as merchant of record for Vrbo bookings (US/UK/AU) at 3.9% (2.7% AU). Note: Hospitable also runs an older Chrome-extension "Legacy" connection it is migrating hosts off. Weakness: per-listing cost climbs fast past 10 units; MoR fee is an added cost.
#Lodgify — best if you want a direct-booking website
Vrbo Elite Partner. Plans roughly $16 (Basic/Starter, annual) to $59 (Ultimate) per property per month. A 1.9% booking fee applies on Starter/Professional; Ultimate removes it. Good website builder, strong Trustpilot rating. Weakness: the booking fee on lower tiers adds up on direct volume; the cheapest tier is thin.
#Guesty Lite / Guesty Pro — app-first, scales to enterprise
Vrbo Elite Partner. Guesty Lite is $16/month per listing (annual) or $23 monthly, capped at 1–3 listings, with a pay-as-you-grow option at $9/listing + 1% per reservation. Guesty Pro (4–199 listings) is quote-only. Weakness: Lite is capped at 3 listings; Pro pricing is opaque; cannot import pre-existing Vrbo reservations from before the connection date.
#Hostaway — full PMS for 10+ units
Vrbo Elite Partner (6th consecutive year). Quote-only pricing, commonly reported around $25–$50 per listing per month, plus a one-time onboarding fee of $300–$1,000+. Annual contracts are the default. A 1% fee applies on Stripe payments and a 1.8% fee on direct-booking-engine reservations. Weakness: no public pricing, mandatory onboarding fee, annual lock-in, no free trial.
#Hostfully — mid-size managers
Vrbo Elite Partner. Around $15–$25 per property per month plus a platform fee; a 1% payment gateway fee and 0.85% direct booking fee apply. Guidebooks are a strength. Weakness: platform fee and per-booking fees stack; mid-market focus.
#iGMS — budget automation via browser extension
Connects to Vrbo through a Chrome/Firefox extension, not the official certified API. Per-listing tiered pricing. Fine for messaging automation. Weakness: extension connections depend on a logged-in desktop browser, break on Vrbo auth changes, and sync less than the official API.
#Smoobu — Europe, iCal-only Vrbo
Vrbo connection is iCal only: no rates, no messages, no guest details, no financials sync (per Smoobu's own docs). About €26/unit/month (Flex plan includes a 0.9% booking fee; prepaid plan removes it); a free plan and 14-day trial exist. Fine if Vrbo is a small part of your mix. Weakness: iCal-only means real double-booking risk on Vrbo and no rate push. Multiple users are still asking Smoobu for a full Vrbo sync as of late 2025.
#Beds24 — most customizable, technical operators
Certified API partner across Airbnb, Vrbo, Booking.com, Expedia. Pay-as-you-go from about €8–€16/month for small portfolios. Very powerful and cheap. Weakness: famously complex, dated interface, steep learning curve; users report the API data model is hard to work with. Not for hosts who want simple.
#Others commonly recommended
- Uplisting — official Vrbo API (its docs recommend connecting by iCal first, then switching to API). ~$20/listing/month, roughly a $100 floor for up to 5 listings, 14-day free trial, no revenue share on flat plans.
- Tokeet — official Vrbo API (migrated from iCal to API). Flat tiers historically from about $9.99/month with no commission and a 15-day trial; live-site pricing appears to have moved higher, so confirm current rates.
- Hostex — connects via Chrome extension, not a certified Vrbo API. From about $4.90 per room/month, 15-day trial, no free version. Cheap, but the Vrbo connection is extension-based and depends on staying logged in.
- Hosthub — custom official Vrbo API that works with fewer than 5 properties. ~$39/rental/month (Pro adds 0.7% of net booking value). 14-day trial, no setup fee.
- Host Tools — API to Airbnb/Vrbo/Booking.com. Pro from $32 for one listing, sliding down per listing ($106/mo at 10); 14-day trial, no setup fee, no contract.
- NextPax — Vrbo Preferred Partner for 2026. Connectivity/distribution layer from ~$4/unit/month, $250/month minimum (includes first 25 units). For PMSs and larger operators, not solo hosts.
- Avantio, Kigo, Escapia (Expedia-owned), Streamline, Track, LiveRez, Barefoot, Rentals United — enterprise/professional-manager platforms, mostly quote-only with onboarding, aimed at 20–50+ units. Escapia is an Expedia Group company and a 2026 Vrbo Elite Partner; Rentals United now markets a Preferred designation. Overkill and over-priced for most 1–50-unit hosts.
#Total-cost comparison (USD per month)
| Listings | HostPort | OwnerRez | Hostaway (est.) | Guesty Lite | Lodgify (Starter) |
|---|---|---|---|---|---|
| 1 | $10 | $40 | ~$125–175 + onboarding | $16 | ~$16 + 1.9% |
| 5 | $50 | $88 | ~$175–250 + onboarding | n/a (3-listing cap) | ~$80 + 1.9% |
| 10 | $100 | $127 | ~$250–350 + onboarding | quote | ~$160 + 1.9% |
| 25 | $250 | ~$226 | quote + onboarding | quote | ~$400 + 1.9% |
| 50 | $500 | ~$374 | quote + onboarding | quote | quote |
HostPort is flat and predictable. OwnerRez is competitive at scale but front-loads the first unit at $40. Hostaway and Guesty Pro are quote-only with onboarding fees. Lodgify's booking fee makes its effective cost higher than the sticker on lower tiers. Note: at the very top of this range (50 units), OwnerRez's sliding scale can undercut a pure flat rate; run your own numbers against your listing count.
#Decision framework
By portfolio size
- 1 listing: HostPort (free iCal tier or $10 synced). Guesty Lite if you want an app-first feel.
- 2–5 listings: HostPort ($20–$50 flat). OwnerRez if you want owner statements.
- 5–20 listings: HostPort ($50–$200 flat) or OwnerRez. Hostaway if you need a full PMS.
- 20–50 listings: HostPort still works and stays cheap; OwnerRez or Hostaway/Guesty Pro if you need trust accounting and heavy automation.
- 50+ listings: OwnerRez, Hostaway, Guesty Pro, or an enterprise platform (Track, Streamline, Escapia).
By channel mix
- Vrbo-only: Any official API tool. Avoid iCal-only.
- Vrbo + Airbnb: HostPort (both via API). Avoid free iCal cross-sync for anything but a single low-volume unit.
- Vrbo + Airbnb + Booking.com: HostPort (API to all three, plus room-type grouping on Booking.com).
By property type
- Whole-home / cabin / lake / beach: Vrbo's core audience (families and groups, longer stays). Prioritize a clean API connection and Instant Book if you want Expanded Distribution.
- Multi-unit: HostPort's linked calendars and Booking.com room-type grouping.
By priority
- Cheapest: HostPort ($10 flat, free iCal tier). Beds24 and Hostex are cheaper on paper but harder to run or extension-based.
- Simplest: HostPort.
- Automation: Hospitable, OwnerRez, HostPort.
- Direct bookings: Lodgify, OwnerRez, HostPort (direct booking page).
- Owner statements: OwnerRez, Hostaway.
By region
- US/Canada: Vrbo is strongest here; most tools fully support it.
- Europe (Abritel/FeWo-direkt): Confirm EU registration-number handling; note the 20 May 2026 regulation.
- Australia/NZ (Stayz/Bookabach): Confirm payment/MoR handling for your country.
#Common Vrbo-specific pitfalls
- Connecting a second PMS → Calendar Restricted. Only the first PMS controls the calendar. The second can pull reservations and message, but cannot push rates or availability.
- Disconnecting → lost reservations and data. Removing a PMS can strip reservations from the Vrbo calendar and delete historical financials permanently. Use the software switch, not disconnect-and-reconnect.
- Legacy HomeAway listings block the upgrade. Listings created before the July 2020 HomeAway→Vrbo rename sit in an older catalogue. A single HomeAway-era listing can block your whole account from the official Partner API upgrade. Check the label above each listing's ID in your Vrbo dashboard: "HomeAway" = legacy, "Vrbo" = new.
- iCal double bookings. iCal refreshes on a delay (minutes to hours, up to 12). Same-day and last-minute bookings are highest risk.
- Rates not pushing on partial connections. On a Calendar Restricted or iCal connection, your tool may show rates it never actually sends to Vrbo. Verify on the guest-facing listing.
- Fee fields mapped wrong. Cleaning and pet fees can map incorrectly; they affect the 5% commission base, so errors cost money.
- Taxes misconfigured. Taxes do not always carry over during a switch; re-enter them per property before the next booking.
- Instant Book / Expanded Distribution surprises. Enabling Instant Book opts you into wider distribution and raises double-booking risk without real-time sync.
- Promotions stacking. Vrbo promotions can stack on channel-manager discounts and cut your rate more than intended.
- Cancellation policy mismatches between your PMS and Vrbo.
- Messaging not routed on unofficial (extension/iCal) connections.
- Payout confusion under Vrbo Payments / MoR. Guests may see two charges (reservation total and service fee); know who your merchant of record is.
#Migration checklist (moving Vrbo to a new tool)
- Export a CSV of all reservations and financials from your current PMS before touching anything. Vrbo's API will not carry financial detail across.
- Do NOT disconnect your old PMS first. Use Vrbo's official software switch so the channel hands over from one PMS to the next in one step, avoiding the up-to-two-week archive window.
- Map listing IDs and reservation IDs from your old software to the new one so history and calendars line up.
- Tell Vrbo you want to keep your existing listing number and reviews. Vrbo can preserve reviews and Premier Host history when listings are linked correctly, but it will not happen automatically — say so explicitly to Vrbo support.
- Handle legacy HomeAway listings. If any listing shows the "HomeAway" label, work with Vrbo/your new provider to resolve or migrate it before attempting the official API upgrade, or it can block the whole account.
- Re-enter taxes per property after the switch.
- Confirm your commission credit card is valid on Vrbo (Vrbo charges its 5% commission to a card on file; a failed charge can affect your listings).
#"Test before you trust it" checklist
Before you rely on the connection, verify each of these on a live listing:
- Block propagation both ways with Airbnb: create a test block on Vrbo, confirm it appears on Airbnb, and vice versa.
- Rate push: change a nightly rate in your tool and confirm it updates on the guest-facing Vrbo listing.
- Fee push: confirm cleaning and pet fees show correctly on Vrbo.
- Min-stay: set a minimum stay and confirm it enforces on Vrbo.
- Cancellation handling: confirm your cancellation policy matches on Vrbo.
- Message routing: send a test guest message and confirm it routes through your inbox.
- Payout flow: confirm who the merchant of record is and how payouts arrive.
- Guest-view calendar check: open your listing as a traveler and confirm blocked dates are actually blocked.
#Bottom line
Vrbo punishes bad connections. The one-PMS rule, the destructive disconnect behavior, legacy HomeAway listings, and the new listing-level Premier Host standards (99% acceptance, 0% cancellations, 4.6+ rating, per listing) mean your channel manager's Vrbo connection quality directly affects your revenue and your badge. For hosts and small operators running 1–50 units, HostPort gives you an official two-way API connection to Vrbo plus Airbnb and Booking.com at a flat $10 per synced listing, with no contract and no setup fee, and a free iCal tier to start. Confirm the Vrbo-specific depth with HostPort support, run the test checklist, and you have a clean, cheap, predictable setup.
Pricing and partner-tier details are current as of September 2026 and change frequently. Verify current figures and confirm each tool's Vrbo connection type directly with the vendor before committing.
Flat pricing, no contract, no sales call.
HostPort syncs Airbnb, Booking.com and Vrbo, runs your direct booking page and puts every guest message in one inbox. Free forever on iCal sync; $10 USD per listing per month for two-way channel sync.
